Align & lock goals
Agree what good looks like before the lights go up. Walk out with the goals and the owners settled.
Confirm the operational lead & communication channels for the pilot
Confirm what success looks like from this pilot so we can shape it around that
Confirm emails send from Alesso's own domain and what that domain is
Confirm the content send window after the show (ideally 24–48h)
02Pre-show · By ~24 Jun
Pre-seed and prepare the account
The gallery shouldn't open empty and the account should be ready to send. Load past nights so day-one visitors land on a full house.
Share the desired seed content (Ultra Miami (03·26), Red Rocks etc.) so we can build the Alesso profile
Configure DNS settings (if using platform emails)
Load existing audiences via CSV upload (if using platform emails)
Confirm legal information (name, address, contact) for platform privacy policy
03Pre-show · Test before doors
Outreach & QR
Move borrowed reach into owned data using both digital and physical channels.
Confirm all available digital outreach channels for awareness
Understand current promotional plan around the show
Pick the capture mechanics and QR messaging: early access · presale priority · VIP competition · giveaway · preview unreleased track
Confirm options for QR placement on-site (printed signs / screens / wristbands)
Confirm ownership and deadline for any printed on-site material (if desired)
Confirm the fan-shared content review flow (nothing goes straight to gallery)

Execute
The only new step is getting the footage out. Everything else, Alesso's team already does.
Capture the night: the team shoots, and fans add their own frames from the floor
Send footage to Drop Highlight: via a DH upload link or Dropbox, whichever the team prefers
Drop Highlight builds the gallery: picks the fan favourites, drafts it, sends for review, then puts it live
Build and send gallery awareness emails: hook, body, tappable cards; Alesso as sender
New captures join Alesso's DH database: we export and send it over, or walk the team through it, post-campaign
05Post-show · Within 1 wk
Debrief & review
Did the channel live up to expectations and do we continue the roll out?
Export the clean first-party file: segmented by show / city / date
Review against the pilot goals + gather any fan feedback
Review the fan-upload wall: submitted vs. approved, brand control held
Decide what scales to the next dates: Pier 4 (22·08) and beyond
